Selecting the right entertainment and activities for your Grad Night Party is probably one of the most critical assignments your organization will have. Entertainment has come a long way from the simple games by parents and committee members that were featured at many of the first Grad Night Parties.
Entertainment has become big business, and your event is in competition with everything else available, from MTV to the latest virtual reality games. In this day and age it takes something really different to get young adults excited and involved. Remember that the underlying reason you are having a Grad Night Party is to get your community’s youth into a protected environment at the very time when it has been a longstanding tradition to “get crazy,” “party hard,” and “go wild.”
It’s up to you to select the type of entertainment and activities that are going to generate excitement and anticipation. The important thing is to try to provide a wide variety of activities and recreation, both passive and interactive. Most Grad Night Parties typically run five to six hours — that is a lot of time to fill for a diverse group of people.
Create An Information Sheet:
Save time by creating a one-page information sheet containing the answers to all the questions that will be asked dozens of times before the event. Nothing elaborate, just the basics that any vendors or performers will need to know. With all the responsibilities committee members have to deal with the night of the event, it is sometimes difficult to locate the contact person for instructions. With the proper information, the vendor can be in position and ready as soon as possible. Information such as:
Explicit directions on how to get to the event location. Include a map with directions from all major routes into your city or town. Be sure to indicate the entrance(s) where they are to load-in to the event area.
A detailed map of the event location itself, showing a floor plan of the area (including electrical outlets), and where that vendor is to set up.
Emergency contact persons with their telephone numbers. A phone call from a vendor who is delayed due to a traffic accident could prevent the panic that sometimes occurs the few hours prior to an event.
If some of your suppliers are from out of town, be sure to include information and locations for local hotels, restaurants, and any other information, historical or otherwise, about your event, school, or community that you feel might be of interest.
